Privacy Policy
Effective October 27, 2026
Hotshot PayGuard handles the paperwork behind your loads, so it also holds business information you would not want loose. This policy explains what the app collects, why, and who can see it.
Information you give us
Your account name and email address, and the login you choose (email and password, Google, Microsoft, Facebook or Apple). Your carrier details you enter — company name, MC and DOT numbers, phone. The loads you log, with lane, rate, mileage, dates and terms. The brokers you record or report. The documents you upload — rate confirmations, bills of lading, delivery receipts, scale tickets, lumper receipts and photos — and the notes, names and locations you attach to them. Load agreements, including the typed name, drawn signature and timestamp of both sides. Invoices, payment amounts, due dates and dispute details.
Information about your subscription
Subscription checkout and card processing are handled by Base44 Payments. We do not see or store your full card number. We do receive and keep your subscription status, plan, order and subscription identifiers, buyer email, charged amount and currency so access can be granted, renewed or revoked.
How we use it
To run the app: show your loads, documents, agreements and invoices, send payment reminders and overdue alerts to you, calculate your collection and payment-speed figures, and keep your subscription access current. To read a rate confirmation you upload, so the load fields fill themselves in. To draft a payment demand or demand letter from the invoice and broker details you have already entered. To show broker information to other signed-in drivers, as described below. To answer support questions you send through the contact form.
Broker reports are shared with other drivers
The broker check is a shared record. When you file a report about a broker, the broker's name, MC and DOT numbers, the report category, severity, headline, your written details, amount owed, load reference, delivery date and days late, and the report's status become readable by other signed-in drivers using the app, and they feed that broker's risk score. Your name is shown as the reporter to other drivers, and any evidence files you attach to a report — photos, receipts, screenshots — are visible to other signed-in drivers along with the report itself. Do not upload to a broker report anything you are not willing to have other drivers see. Your loads, documents, invoices and agreements are not shared this way.
Documents and files
Files you upload are stored privately (stored privately), tied to your account and to the load they belong to. They are not public links. When you or the app need to open one, a short-lived signed link is created for that file. Public share links you deliberately create — a load board link or a broker signing link — are readable by anyone holding that link until the record is closed or deleted.
Who we share with
Only the services that run the app, and only the data each one needs. Base44 Payments takes and renews your subscription and holds your card details. Our hosting provider stores your account and records. Our email provider delivers your reminders, overdue alerts and agreement links. An AI service reads documents you ask the app to read and drafts payment demands from the invoice details you entered. Brokers receive an agreement when you send them a signing link, and other signed-in drivers see broker report fields and attached evidence as described above. No one else receives your data: we do not sell it, rent it, or share it with advertising, lead or data partners.
Keeping and deleting
Load, document, agreement and invoice records stay in your account while you use it, and anything you delete yourself is removed from the app. When you cancel or ask us to close your account, we keep its records for 12 months — the window in which a payment dispute, chargeback or broker claim is most likely to surface — and then delete them. To start that, message us through the contact page. Payment records held by the payment provider are kept as long as that provider and tax rules require, and broker reports other drivers rely on may remain part of a broker's history without your account details attached.
Security
Each account's loads, documents, invoices and agreements are restricted to that account, and access is enforced by the app's database rules, not only by what a screen shows. No system is perfectly secure, so keep your login private and tell us right away if you think someone else has it.
Cookies and sessions
The app uses browser storage to keep you signed in and to remember where you were in a flow. It does not use advertising cookies or sell data to ad networks.
Children
Hotshot PayGuard is a business tool for carriers and brokers. It is not intended for anyone under 18, and we do not knowingly collect information from children.
Changes and contact
If this policy changes, the new version is posted here with a new effective date. Questions about your information, or a request to delete it, go through the contact page. Our Terms of Service cover how the app may be used.
